How to Use This Resource

  • Walk the property slowly and document each issue with photos where helpful.
  • Separate safety, water intrusion, electrical, HVAC, plumbing, structural, and access issues from cosmetic improvements.
  • Assign each item a priority: urgent, pre-occupancy, 30-day, 90-day, annual, or future improvement.
  • Use the notes area to capture vendor questions, owner decisions, budget assumptions, and follow-up actions.
  • For unclear conditions, request review from the appropriate licensed professional or qualified trade partner.

Monthly Maintenance

  • Replace or inspect HVAC filters and document filter size and date changed.
  • Check visible plumbing under sinks, around toilets, near the water heater, and at exterior hose bibs.
  • Test smoke detectors, carbon monoxide detectors, GFCI outlets, exterior lights, locks, and garage door safety reversal.
  • Inspect for pest activity, moisture stains, mildew, odors, drainage issues, and new cracks or settlement indicators.
  • Walk the exterior for broken irrigation heads, pooling water, loose screens, damaged weatherstripping, and trip hazards.

Quarterly Maintenance

  • Flush rarely used drains and inspect sink, shower, tub, and laundry connections.
  • Inspect caulking at tubs, showers, backsplashes, windows, doors, and exterior penetrations.
  • Clean dryer vent path where accessible and confirm proper dryer airflow.
  • Review landscaping clearance from walls, roof lines, AC equipment, pool equipment, and walkways.
  • Check attic access area, visible insulation, signs of leaks, pests, roof staining, or blocked ventilation where accessible.

Seasonal / Florida Property Care

  • Before storm season, review roof concerns, gutters, drainage, tree limbs, shutters, screens, exterior furniture, and generator/supply planning.
  • Inspect exterior paint, stucco cracks, window seals, door sweeps, weatherstripping, and water intrusion risk.
  • Service HVAC before high-demand months and confirm condensate drain is clear.
  • Review pool equipment, pump schedule, filter condition, irrigation timing, lawn health, and outdoor lighting.
  • Document any issues that may worsen during heavy rain, heat, humidity, wind, or extended vacancy.

Annual Professional Review

  • Schedule HVAC service and document system age, condition, and estimated replacement horizon.
  • Review roof age, visible condition, ceiling stains, soffits, fascia, gutters, drainage, and potential leak indicators.
  • Inspect water heater age, TPR valve area, pan/drain setup, corrosion, leaks, and replacement timing.
  • Review electrical panel, visible wiring concerns, GFCI locations, exterior outlets, and safety items.
  • Review major appliance age, maintenance history, warranties, recurring issues, and replacement planning.

Owner Documentation

  • Maintain a property file with photos, warranties, filter sizes, paint colors, appliance models, service dates, and vendor notes.
  • Track open issues by priority, estimated cost, responsible party, and target completion date.
  • Separate safety repairs, water intrusion, system failures, preventive maintenance, and cosmetic improvements.
  • Set a monthly maintenance reserve based on property age, condition, rental use, and deferred maintenance exposure.
